ENGINE RACE Extraction POINT Ticket Terms and Conditions

These terms apply to the purchase of a team entry for ENGINE Extraction. The organiser is ENGINE RACE EVENTS LTD, trading as ENGINE RACE, of Unit 3 Goodchild Parkway, HP18 0PE (the Organiser). Contact: info@enginerace.co.uk.
Please read these terms before purchasing. By completing the purchase and ticking the acceptance box, the purchaser agrees to these terms. The purchaser accepts the booking and payment terms for the team but cannot sign the participant waiver, make medical declarations or surrender legal rights on behalf of another athlete. Every athlete must complete the individual participant registration and waiver before taking part.
1 The event
1.1 ENGINE Extraction is an adult team navigation and functional-fitness event. Teams of four are transported while wearing event-approved blackout goggles to an undisclosed location approximately 5km or 10km in a straight line from the finish. Teams navigate back on foot without prohibited electronic or navigation aids and then complete a functional-fitness challenge.
1.2 The stated 5km or 10km distance is an approximate straight-line distance. There is no fixed race route. The distance actually travelled may be substantially longer and will depend on the decisions made by the team.
1.3 The event takes place on public roads, pavements, footpaths and other publicly accessible areas. Roads and paths are not closed exclusively for the event unless expressly stated.
1.4 The event date, arrival time, starting location, mandatory equipment and other instructions shown on the booking page or subsequently issued by the Organiser form part of these terms.
2 Team entry and eligibility
2.1 One ticket admits one team of four athletes. The person purchasing the ticket is the Team Captain and is responsible for paying the full entry fee and providing accurate team information by the stated deadline.
2.2 Every athlete must be aged 18 or over on the event date.
2.3 The Team Captain confirms that they have authority to provide the names and contact details of the other athletes for event administration. The Team Captain must give each athlete access to these terms, the event rules, the privacy notice and the individual participant waiver.
2.4 Each athlete must personally:
complete the required registration information;
disclose information relevant to safe participation;
read and sign the participant waiver;
attend the mandatory safety briefing; and
comply with the event rules and staff instructions.
2.5 A team cannot start with fewer than four registered and cleared athletes unless the Organiser expressly agrees otherwise. Failure to assemble an eligible team does not entitle the purchaser to a refund, although substitutions may be made under clause 6.
3 Entry fee and booking confirmation
3.1 The entry fee is the price displayed at checkout. Any member, founding-event, early-access or promotional price applies only where the stated eligibility conditions are met.
3.2 A booking is confirmed when payment has been successfully received and the Organiser or ticket provider issues confirmation.
3.3 Third-party booking or payment fees will be shown at checkout. Any such fee will only be treated as non-refundable where this was clearly disclosed and the fee is not recoverable from the provider.
3.4 The Team Captain must check the confirmation and notify the Organiser promptly of any error.
4 Minimum entries
4.1 The event requires a minimum of 10 paid team entries to proceed.
4.2 If the minimum is not reached, the Organiser may cancel or postpone the event. The Team Captain will be offered either:
a transfer of the full team entry to the rearranged event or another suitable Organiser event; or
a refund of the event entry price paid.
4.3 The Organiser will communicate the decision using the contact details supplied with the booking and will not be responsible for reasonable travel or accommodation costs separately arranged by participants.
5 Cancellations by the purchaser
5.1 A cancellation request must be sent in writing to info@enginerace.co.uk by the Team Captain.
5.2 Unless a different policy was clearly displayed before purchase, the following refund policy applies:

6 Team substitutions and transfers
6.1 The Team Captain may substitute one or more athletes without charge until seven clear days before the event, provided the replacement athlete:
is aged 18 or over;
supplies all required information by the deadline;
signs their own participant waiver; and
meets the event's health, fitness, equipment and safety requirements.
6.2 Entries may not be resold for more than the original price or transferred commercially without written permission.
6.3 Changes requested fewer than seven days before the event are at the Organiser's discretion because trackers, transport, medical information and drop arrangements may already have been allocated.
7 Participant fitness and medical information
7.1 Every athlete is responsible for deciding whether they are fit and sufficiently prepared to participate. Entry acceptance is not confirmation of medical fitness.
7.2 An athlete must not participate while ill, injured, intoxicated, impaired by drugs or medication, or otherwise unable to participate safely.
7.3 Relevant medical conditions, allergies, medication, injuries, disabilities, pregnancy, mental-health considerations and accessibility requirements must be disclosed through the secure participant process. Athletes should not send unnecessary medical details through the general ticket checkout or Team Captain.
7.4 The Organiser may refuse or stop participation where it reasonably believes this is necessary for the safety of the athlete or others. Where exclusion results from inaccurate information, non-disclosure or failure to follow safety requirements, no refund will be due.
8 Event rules
8.1 Athletes must follow the published rules, safety briefing and reasonable instructions of the Organiser, event control, medical personnel, drivers, emergency services and authorised volunteers.
8.2 Unless the Organiser expressly states otherwise, prohibited items and conduct include:
using a phone, smartwatch, personal GPS, electronic navigation device, map or compass during the competitive event;
using money to obtain transport or navigation assistance;
travelling by vehicle, bicycle, taxi or public transport;
deliberately separating from or abandoning a team member;
entering private property, railway land, waterways, construction areas or prohibited routes;
taking dangerous shortcuts or disregarding the Highway Code; and
abusive, dangerous, dishonest or unsporting conduct.
8.3 Teams must remain together within sight and immediate speaking distance. All four athletes must reach the finish before the team can begin the final workout.
8.4 A rule breach may result in a time penalty, disqualification, removal from the event or refusal of future entry. A participant disqualified for their own conduct is not entitled to a refund.
9 Transport and blackout goggles
9.1 Event transport may be provided using designated vehicles and drivers approved through the Organiser's event arrangements.
9.2 Athletes must remain seated with a seat belt fastened while the vehicle is moving, wear blackout goggles only as instructed and avoid distracting or interfering with the driver.
9.3 An athlete may ask for the goggles to be removed at any time for health or safety reasons. This may prevent competitive continuation but the athlete will not be required to remain visually restricted against their wishes.
9.4 Claustrophobia, motion sickness, panic attacks, seizures or any other relevant condition must be disclosed before transport begins so that reasonable adjustments can be considered.
10 GPS tracking and event equipment
10.1 Every athlete will be assigned a GPS tracker for safety, participant monitoring and incident response. Athletes will not have access to the tracking information during the competitive event.
10.2 GPS tracking depends on equipment, batteries, satellites and communications networks. It reduces risk but does not guarantee continuous coverage or immediate rescue.
10.3 Athletes must keep trackers and event equipment secure, follow the instructions provided and return all issued items before leaving.
10.4 A participant may be charged the reasonable replacement or repair cost of equipment deliberately damaged or not returned. The applicable maximum tracker replacement charge must be disclosed before the event: £40
11 Changes made by the Organiser
11.1 The Organiser may make reasonable changes to drop locations, transport, start procedures, timings, distances, workout movements, equipment, staffing or other operational details where necessary for safety, fairness, weather or circumstances outside its reasonable control.
11.2 Minor operational changes do not create an automatic right to a refund where the event still provides substantially the advertised experience.
11.3 If the Organiser makes a material change that significantly alters the advertised event, the Team Captain will be offered a transfer, credit or refund of the event entry price.
11.4 The Organiser may delay, suspend, shorten or stop the event where continuing would create an unacceptable safety risk.
12 Cancellation or postponement by the Organiser
12.1 If the event is cancelled and no replacement date is offered, the Team Captain will receive a refund of the event entry price paid.
12.2 If the event is postponed, the Team Captain may transfer the booking to the replacement date or request a refund of the event entry price within the deadline specified in the postponement notice.
12.3 The Organiser is not responsible for indirect losses or separately booked travel, accommodation, childcare, equipment or other personal expenses, except where liability cannot lawfully be excluded.
13 Safety and liability
13.1 Navigation, road use, physical exertion, functional-fitness activity, unknown locations and delayed access to assistance involve inherent risks. Every athlete must read and sign the separate participant waiver, which explains these risks in detail.
13.2 The Organiser will take reasonable steps to plan and operate the event safely. A signed waiver does not replace the Organiser's legal duties, risk assessment, safety plan, insurance or medical arrangements.
13.3 Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, breach of statutory duty, or any other liability that cannot lawfully be excluded or restricted.
13.4 Nothing in these terms affects the purchaser's or any participant's statutory consumer rights.
14 Personal information
14.1 The Organiser will process booking, identity, contact, emergency, GPS-location and health information for event administration, safety and incident response in accordance with the event privacy notice:
14.2 Information may be shared where necessary with the ticket provider, GPS supplier, medical provider, drivers, event staff, insurers and emergency services, subject to appropriate safeguards.
14.3 Optional promotional photography, video use and public spectator tracking will be dealt with through separate choices and are not conditions of purchasing a ticket.
15 Complaints and contact
15.1 Questions, accessibility requests and complaints should be sent to info@enginerace.co.uk
15.2 The Organiser will aim to acknowledge complaints within five working days and provide a substantive response within 14 working days.
16 General terms
16.1 If any provision is found invalid or unenforceable, the remaining provisions will continue to apply.
16.2 A delay in enforcing these terms does not waive the right to enforce them later.
16.3 These terms are governed by the law of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory consumer rights concerning jurisdiction.
